The best way to explain this, is with a little story...
A Law Firm approached us, asking for our help. This was their situation: Their main line of business is to help people, who get in trouble with creditors, apply for voluntary financial administration from the court. They have small satellite offices around the country, where clients would apply.
The client starts off by filling in a standardized form, asking for details, such as Name, Surname, I.D. number, etc. This form is then posted to head office in Pretoria, where all the details are taken and put into a 35 page legal document. This legal document is then posted back to the satellite office, where the client's signature is obtained. The signed form is posted again to head office, where an attorney submits it to court.
Turnaround time for one client: 3 weeks
ClearWave's solution: By creating a centralized website, where all agents at the satellite offices can login. All new client details are filled in on the website, the website then takes those fields and automatically merges them into the 35 page document.
The agent prints the document and lets the client sign the last page. The signed page is scanned and uploaded with the electronic, legal document to the website. All submissions are issued with a ticket, so that the Agent and Client can keep track of the document's status.
Head Office then receives notification of a new client application, an attorney is assigned, and the case is submitted to court.
